Accounting/HR Manager

PRIMARY FUNCTION:
The Boys & Girls Club of Vista (BGCV) is hiring an Accounting/HR Manager who is the head of accounting and oversees financial operations. This position is responsible for financial record-keeping and employee management, including tasks like payroll processing, benefits administration, financial reporting, employee data maintenance, and ensuring compliance with relevant labor laws.
 
As a key member of the leadership team, this position will help provide strategic financial guidance and collaborate across departments to support BGCV’s mission, goals and fiscal success.
 
 
Key Responsibilities:

  1. Financial Management:
    • Manager Accounts Receivable, Accounts Payable and reconciliation of balance sheets, cash flow, bank statements and general ledger on a monthly basis for BGCV and BGCV Foundation.
    • Oversee the continuous improvement of accounting and financial processes including annual budget planning, financial analysis and various audits.
    • Develop cash flow forecasting and manage banking relationships.
    • Administer payroll systems, retirement plan, processes and controls for efficiency and compliance.
    • Ensure the organization is in compliance with all policies and regulations and ensure filings are completed in a timely manner.
    • Work with the CEO and Finance Committee to design financial policies and regulations and see that all departments follow policies.
    • Proficiency with QuickBooks, Microsoft 365, OneDrive, Adobe, etc.
 
  1. Administrative Oversight:
    • Employee onboarding and new hire paperwork and training.
    • Employee time and attendance tracking auditing.
    • Updating Employee Handbook for compliance with employment laws and regulations.
    • Organizing office operations and procedures including updating Employee Handbook for compliance.
    • Benefits administration include enrollment and changes.
    • Managing office supplies, equipment leases, inventory, etc.
    • Assist the CEO with meeting scheduling, Board minutes, etc.
 
  1. Contract Compliance:
 
· Oversee compliance of government contracts and grants, including invoicing, tracking, and fulfilment of requirements.
· Work with staff and grant lead on contract reporting including legal, invoicing questions, timesheet questions, waivers, and client correspondence/questions.
· Assist in the development of budgets for grants and programs.
· Help develop financial reports or dashboards for donor engagement, using tools like Excel and QuickBooks
· Responsible for the management of the organization’s insurance and risk management program.
· Oversee the annual renewal process and ensure appropriate coverage is maintained and established coverages.
 
 
  1. Management:
· Develop regular reporting, including key metrics, and conduct financial projections as needed (end of year, quarterly, average staff rates).
· Present monthly and year-to-date financials to the CEO and Finance Committee with accompanying analysis of results.
· Communicate with the CEO about organizational risk, reviewing fiscal impacts, and any correspondence needed with the board of directors.
· Oversee payroll and HR administration through Paychex, First Advantage including staff onboarding, benefits, 401k program, and compliance with all labor laws.
· Supervise direct reports and conduct performance reviews.
 
Position Requirements:
  • At least 3 years of experience or more in a supervisory accounting role preferably in a nonprofit environment.
  • Solid understanding GAAP and nonprofit accounting are required.
  • Proficient in using automated accounting systems (i.e., QuickBooks Online) and proficiency with all Microsoft and Adobe applications.
  • Credit and background check required due to access to bank information, payment processing and position of trust as well as BGCA safety compliance training.
  • Experience selecting and using HRIS software.
  • Outstanding analytical skills and a keen eye for detail
  • Excellent communication and interpersonal skills
  • Must have access to reliable transportation.
  • Be able and willing to work flexible hours as needed.
  • Possess excellent interpersonal and problem-solving skills as well as emotional intelligence.
  • Strong math, reading, writing and speaking skills.
  • Ability to manage multiple tasks and develop solutions with limited supervision.
  • Ability to establish and maintain positive working relationships with staff, volunteers and stakeholders.
 
Special Conditions of Employment:   
  • Successful completion of pre-employment background check and drug screening  
  • Valid Driver’s license and verification of insurance.
  • Physical requirements include ability to stand for extended periods of time, ability to lift up to 50 lbs. and ability to react quickly to physical safety issues as needed.
